The Five SEO Numbers Worth Reporting to a Business Owner
Most SEO reports are long because length looks like effort. Five measurements explain whether the work is paying off, and the rest belong in a working document.

If you can only track five things, track these: qualified organic sessions, conversions from organic, click-through rate on your important pages, indexed page count, and share of queries where you appear in the top ten.
Everything else is diagnostic. Useful while working, distracting in a report.
Why long reports persist
A forty-page monthly report is easy to produce and hard to argue with. It looks like effort. It also lets genuinely bad months hide behind a rising number somewhere on page twenty-eight.
A dashboard is not a scoreboard. A scoreboard tells you whether you are winning.
The five
1. Qualified organic sessions
Not total sessions. Sessions to pages that could plausibly lead to business — service pages, case studies, the contact page, and articles aimed at buyers.
Traffic to a viral post that attracts nobody who would ever hire you is vanity. Segment it out and your trend line becomes far more honest.
2. Conversions from organic
Form submissions, email clicks, phone taps, whatever counts as an inquiry for your business.
This is the number that survives contact with a skeptical owner. If it is not moving after six months of consistent work, something upstream is wrong, and no amount of traffic growth compensates.
Set it up properly before you need it. Retroactive conversion data does not exist.
3. Click-through rate on your priority pages
Take your ten most important pages and track the percentage of impressions that turn into clicks.
CTR isolates persuasion from visibility. Rankings can hold perfectly steady while a rewritten title lifts clicks by a third. That improvement is invisible in a rankings report and obvious here.
4. Indexed page count
A simple health check from Search Console. It should be stable or slowly rising.
A sudden fall is an emergency worth investigating the same day — usually a
deployment that introduced a noindex tag or blocked a directory. Watching this
number is the cheapest insurance in the discipline.
5. Share of queries in the top ten
Rather than tracking individual keyword positions, track the proportion of your target queries that sit in positions one through ten.
Individual rankings fluctuate for reasons that have nothing to do with you. Aggregate share smooths out that noise and shows genuine direction.
What to leave out of the report
- Domain authority scores. Third-party inventions, not signals search engines use.
- Bounce rate in isolation. A visitor who read the answer and left may have been perfectly served.
- Keyword density. Not a thing.
- Raw backlink counts. Ten relevant links beat two hundred worthless ones, and the total hides that entirely.
- Rankings for your own brand name. You will rank for it. It proves nothing.
Setting expectations honestly
Two rules prevent most disappointment.
Compare like with like. Year over year, not month over month, for anything seasonal. A B2B site in December is not comparable to the same site in September.
Give it time. Technical fixes can show results in weeks. Content and authority work more often takes three to six months. Any report showing dramatic gains in the first month is measuring something other than the work.
A one-page format that works
Five numbers, each with the current value, the prior period, and the direction. Underneath, three sentences: what changed, what caused it, what happens next.
Anything requiring more explanation than that belongs in a working document the owner can read if they choose — and usually will not, which is exactly the point.
